Data Deletion Instructions

We respect your right to control your data. This page explains the different ways you can ask us to delete data AgentFlow holds about you, what happens after you ask, and what we keep (and why).
1. Self-serve account deletion
If you have an active AgentFlow account (agent, broker, or admin):
- Sign in at /login.
- Open Settings → Profile.
- Scroll to Delete my account and confirm.
- You'll be signed out immediately. Your account is queued for deletion.
Within 30 days, we permanently delete your profile, login credentials, personal preferences, calendar / email connections, and call recordings owned by your account. Backups are purged on a rolling 90-day cycle.
2. Brokerage / company-wide deletion
If you're the brokerage owner and want every record for the entire company deleted (contacts, deals, conversations, properties, billing history):
- Email info@avvtech.ca from the email on file as the company owner.
- Subject: "Brokerage data deletion request — <your company name>"
- We'll verify ownership, give you a 7-day cancellation window, then run the purge.
Active subscriptions are cancelled and pro-rated as part of the same flow — no separate billing call needed.
3. Disconnecting Facebook / Meta and deleting Meta-sourced data
AgentFlow integrates with Facebook / Instagram via Meta's Graph API to import lead-ad submissions and (for some agents) page-message conversations. To disconnect and have us delete the data we received from Meta:
- In AgentFlow, go to Settings → Meta Ads (or My Account → Meta Ads for per-agent connections).
- Click Disconnect Facebook. We immediately revoke the access token, unsubscribe from page webhooks, and stop importing.
- On Facebook itself, you can also remove AgentFlow's app access at facebook.com/settings → Business Integrations — this is the canonical Meta-side path and revokes everywhere at once.
- To also delete leads that were already imported from Meta, email info@avvtech.ca with subject "Meta data deletion — <your account email>". Include the Facebook page name(s) you previously connected. We delete every contact, conversation, and event whose source is the named page within 30 days.

4. As a contact (someone whose data was added by an agent)
If an agent or brokerage added you to AgentFlow as a lead / contact and you want your data removed:
- Reply to any marketing email you received with the word UNSUBSCRIBE in the body — this immediately stops marketing sends and is logged on your contact record.
- For full deletion (not just unsubscribe), email info@avvtech.ca from the address on file with subject "Delete my contact data". Mention the brokerage / agent who contacted you if you remember.
- We forward your request to the brokerage that holds your record (they're the data controller; we're the processor) and require them to confirm deletion within 30 days, or we delete unilaterally.
5. What we keep, and why
A short list of records we cannot delete on request, and the legal basis:
- Tax + accounting records — invoices, payment records, and the identifiers needed to file with the CRA. Kept for the period required by Canadian tax law (typically 6 years from end of fiscal year).
- Legal-hold data — anything we're under court order or regulatory request to preserve. We notify you when this applies.
- Anonymised aggregates — pure counts and metrics with all identifying fields stripped, used to monitor service health.
6. Verifying your request
For email-based requests, we verify the requester by replying from the email we have on file and asking you to confirm. This protects against impostor deletion requests targeting other people's data. Verification typically takes one business day.
7. Confirming completion
Once deletion is complete we email a written confirmation to the address that made the request, including:
- The date deletion ran.
- The categories of records purged.
- Any records retained, with the legal basis listed in section 5.
